Business Manager - Department of Earth, Environmental, and Planetary Sciences - 24000001H4

Position Summary

The Business Manager in the Department of Earth, Environmental, and Planetary Sciences manages the financial activities of the department and ensures that these activities are in compliance with applicable university, state, and federal policies and regulations. This position prepares the annual salary budget and manages all departmental accounts, including federal grants, the Electron Microprobe Recharge Center, the departmental course fee accounts, and endowment and gift accounts. This position provides data and data analysis for use in strategic planning and in determining the best use of departmental resources. This position has approval authorization for the department. This position establishes departmental practices to ensure compliance with policy. This position is responsible for the supervision of three departmental staff, including the completion of performance reviews and responsibility for disciplinary matters.

Job Responsibilities

Financial Management

· Manage all general ledger and research accounts within the department.

· Manage endowment accounts including allocation of student scholarships.

· Oversee billing of stable isotope lab and emerging Inductively Coupled Plasma Mass Spectroscopy (ICP-MS) lab alongside the Electron Microprobe lab.

· Plan, prepare, and submit annual budgets, monitoring income and expenditure throughout the year.

· Provide budget projections and data analysis to department stakeholders for use in strategic planning and allocation of resources.

· Ensure compliance with university policies, as well external sources, in order to maintain and ensure funding expectations and eligibility.

· Manage department course fees and oversee expenditures based on allowable department needs.

· Oversee management of fees and expenses related to the Electron Microprobe Recharge Center. This includes assistance with establishing appropriate fees for the recharge center and managing the income and expenditures to ensure compliance with University policies.

· Oversee all operations of purchasing, contracts, accounts payable, sponsored accounts, and ledger reconciliations.

· Establish departmental practices to ensure compliance with policies, deadlines, and changes in procedures, serving as the departmental resource for matters related to University financial policies and procedures.

Payroll and Human Resources

· Oversee personnel actions such as hires, transfer, and additional pays.

· Process forms related to foreign hires, including H1B petition, permanent resident form, and J1 scholar form.

· Reconcile biweekly and monthly payroll.

· Establish departmental HR and payroll procedures.

· Oversee administrative and accounting staff, including authorization leave requests, planning work assignments, and managing workflow.

· Prepare and conduct annual staff reviews, addressing disciplinary matters as necessary.

Required Knowledge, Skills, and Abilities

· Knowledge of basic accounting principles

· Financial, accounting and budgetary skills

· Microsoft Office skills (Word, Excel)

· Demonstrated creative problem-solving ability

· Ability to prioritize, multi-task and work under pressure with deadlines

· Ability to work independently

· Ability to supervise others

· Ability to interpret data and present results

Preferred Knowledge, Skills, and Abilities

· Knowledge of UT fiscal and human resource policies and procedures

· Knowledge of sponsored project policies and procedures/research administration

· Knowledge of IRIS

Qualifications

Education

Required:

Bachelor’s degree plus 3 years of experience in financial management

OR

Associate’s degree plus 7 years of experience in financial management,

OR

11 years of experience in financial management.

Preferred:

Three to five years of higher education experience, preferably in an academic department.

This position is Regular, Full-Time, Exempt, Salary Range - $76,145-$81,000 Dependent upon experience and qualifications.
