Administrative Specialist

UT Institute of Agriculture Administration is seeking to fill an Administrative Specialist II position. This position will provide administrative, accounting and SAP (IRIS) entry and human resources support for the following departments within UTIA Administration: General Services, Safety Office, Information Technology Services and the Office of International Programs. The position will be under the supervision of the UTIA Administration Budget Director.
Duties include:
- Coordinate travel arrangements (domestic and international), including travel requests and expense reports
- Receive and assist visitors for Knox-Ag Campus
- Receive, process and track Facilities Services Projects and Work Orders
- Receive all maintenance requests and emergency building issues for the Knox-Ag Campus and report to the appropriate department
- Issue and log temporary courtesy parking permits to visitors and staff
- Assign parking for Knox-Ag employees
- Order and maintain inventory of office supplies and office equipment
- Make and confirm meeting room reservations for UT Knox staff and student/outside organizations
- Keep track of and log conference room equipment reservations
- Schedule and attend meetings for note-taking purposes
- Monitor General Services email
- Schedule and coordinate Medic Blood Drives
- SAP (IRIS) entry, including, but not limited to purchase requisitions, accounts payable, accounts receivable, procurement card reconciliation, internal transfers and cash deposits
- Manage entries in the Contract Management System
- Process bi-weekly and monthly payroll entries
- HR support, including but not limited to personnel change forms, additional and recurring pay requests, create/change positions
Qualifications
Minimum / Required Qualifications:
- High school diploma or some college and specialized education and three-four years office experience
- Ability to manage multiple tasks simultaneously
- Knowledge of University Policies and Procedures, as well as UTIA Procedures
- Interpersonal, communication and organizational skills
- Knowledge of MS Office and related products
Preferred / Desired Qualifications:
- Bachelor’s Degree with one-two years office experience
- Knowledge of SAP (IRIS) System
- Knowledge of foreign travel procedures
- Knowledgeable of Sponsored Projects, Policies, and Procedures and familiarity with policies of the various granting agencies (USDA, USAID, NIFA, etc.) in regards to the international travel reports and accounting entries.
