JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Support Assistant 3 provides administrative support to the Vice Chair of the Department, oversees Continuing Medical Education (CME) activities for the Department of Medicine, facilitates the physician credentialing process for the department, assists with grant preparation activities, and reviews medical staff applications and clinical privilege files, acts as the administrative director of the In Touch newsletter, and troubleshoots and provides technical and audiovisual support for the Department of Medicine activities.
DUTIES AND RESPONSIBILITIES:
- Maintains calendars, schedules meetings, and composes/proofreads correspondence for the Vice Chair.
- Maintains yearly Grand Rounds and Cardiology Conference schedule;
- Coordinates planning meetings with Grand Rounds Coordinators and the chair of the department to ensure all submission deadlines are met.
- Coordinates Continuing Medical Education (CME) conferences and ensures audiovisual needs are met for departmental conferences.
- Assists with grant preparation activities including editing and preparation of manuscripts and the coordination of conference presentations and posters.
- Serves as the administrative director of the In Touch Newsletter.
- Reviews all medical staff applications/files for clinical privileges in the Department of Medicine and provides support for the approval and submission of these files to the credentialing committee.
- Assists department manager with annual faculty evaluations.
- Performs administrative tasks including but not limited to answering telephone calls, pick up and distributing mail, designing and developing PowerPoint presentations, etc.
- Set up medicine conference room for daily conferences; straightening and closing medicine conference room following daily conferences as needed.
- Performs other duties as assigned.
Qualifications
MINIMUM REQUIREMENTS:
EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)
EXPERIENCE: One (1) year of administrative experience.

- Excellent communication, editing, and writing skills.
