IT Administrator – Graduate School
The Vice Provost and Dean of the Graduate School at the University of Tennessee, Knoxville invites applications for the position of IT Administrator. Reporting to the assistant dean and director of graduate student services, the person in this position will perform functions related to the development, implementation, and maintenance of databases and other technological systems used by the Graduate School to enroll, serve, and matriculate graduate students at the University of Tennessee, Knoxville. The person in this position works directly with students, faculty, staff, end users, and providers of technological tools and systems utilized by the Graduate School.
Qualifications
Job Functions/Responsibilities:
Under the direction of the Asst Dean and Director of Graduate Student Services, the person in this position performs functions associated with daily operations of technology including customer relations management databases, student records databases, document imaging platforms, and degree audit system.
The primary job functions/responsibilities include:
- Resolving or coordinating services to resolve technical and functional issues experienced by users of technology systems and resources administrated by the Graduate School to enroll, serve, and retain graduate students, and maintain their records. Works directly with enrolled students, university faculty and staff, and third-party vendors. Consults with the Asst Dean, as needed, to determine and deploy resolutions.
- Participating in the development and implementation of technological innovations including new database systems, upgrades, or customizing existing systems.
- Developing and delivering training materials to users of technology administrated by the Graduate School.
- Performing functional processes to transfer large datasets between integrated systems and assure data integrity through routine audits.
- Maintaining user access in relevant systems.
- Managing enrolled student record retention according to established policies and directive.
- Performing system testing as requested by other university offices or by the Assistant Dean.
- Performing critical technologically related functions in the absence of the Assistant Dean.
- Creating/reviewing enrollment and student services-related content to be updated on web pages, digital forms, and resolving reporting errors.
- Assisting with the execution of technology and/or event support service for Orientation, Graduate Hooding, and other Graduate School events.
- Serving on work-related university committees as requested.
- Attending work-related local, regional, and national meetings.
- Performing other duties as assigned.
The successful candidate will meet the following qualifications:
Required Qualifications and Experience:
- Bachelor’s Degree
- Experience working directly with data management and/or information systems.
- Strong analytical, troubleshooting, and problem-solving experience.
- Demonstrated ability to learn about new information technology tools as required.
- Motivation and ability to solve problems thoroughly, creatively, and in a timely manner.
Required Knowledge, Skills, and Abilities
- Ability to effectively communicate information to diverse populations in oral and written formats.
- Expertise working with technology including knowledge of integrated information systems.
- Proficiency with MS Word and Excel.
- Excellent oral, written, interpersonal, and customer service skills.
- Strong attention to detail.
- Ability to learn and adapt to new technologies in the workplace.
- Knowledge and skills necessary to utilize multiple software packages, including database, word processing, spreadsheet, and reporting tools. Ability and willingness to work with units across campus to serve the needs of graduate students.
- Ability to successfully find resolution to complicated issues involving multiple parties.
The preferred candidate will also meet the following criteria:
Preferred Qualifications and Experience
- Master’s Degree
- Experience working with and supporting technological solutions in a higher education environment, preferably in enrollment management.
- Experience working with content management and customer relations management software.
- Experience executing data quality validations, cleaning data, and utilizing reporting systems.
- Experience with student information systems, document management, and enrollment operations.
Preferred Knowledge, Skills & Abilities
- Experience using Salesforce or other CRM
- Knowledge of Higher Education Environment
- Knowledge and experience working with a CRM, curricular audit systems, and/or WordPress
