Job Description

This position provides administrative support for the Vice Provost for Student Success and the Office of the Vice Provost for Student Success. The position reports to the Chief of Staff as part of the Office of the Vice Provost for Student Success while working closely with all members of the DSS Leadership Team in support of the division’s strategic plan and priorities. The person in the position has significant responsibility for coordinating events and academic activities that support the daily agenda and operations for the VPSS, sending out communications on their behalf and is responsible for financial transaction reconciliations from the VPSS office.

Responsibilities

Administrative Coordination for Vice Provost for Student Success

Coordinates and manages appointments, speaking engagements, meetings, travel, and requests for the Vice Provost’s time. Manage the VPSS calendar. Schedule meetings as requested or required. Provide direct assistance when possible and/or direct inquiries to the appropriate office/person. Send special announcements to students, faculty, and staff on behalf of the VPSS. Coordinates and books travel plans and create itineraries for the VPSS. The administrative coordinator will have access to highly confidential information and will need to maintain confidentiality. Works with internal and external stakeholders to compile and prepare documents, reports, folders, and charts. Manages calendars which often require coordination with other staff. Prepares materials for meetings.

Strategic Office Management for the Office of the Vice Provost for Student Success

The administrative coordinator will work closely with the VPSS Chief of Staff to identify and support the development and execution of unit strategic priorities and initiatives. Assist in the oversight of all aspects Vice Provost sponsored events, retreats, and special program development, including developing and managing budgets for events and preparing internal reports for management. This includes communication and coordination with campus partners and off-campus vendors, management of budget, etc. The administrative coordinator will be secondary point of contact for Office of the Vice Provost events.

Assist in the coordination, supervision, and completion of special projects as appropriate, including strategic priorities and new initiatives for the Office of the Vice Provost and the Division of Student Success.

Management of incoming inquiries, to include handling issues directly or speaking on behalf of the team, using sounds judgment and discretion. Due to the nature of the position, the administrative coordinator will have access to confidential information and will exercise sound judgment and discretion. Assists with internal and external communication including assisting with managing the Vice Provost’s public relations strategy.

Organize and coordinate VPSS search committees and the interview process on behalf of the VPSS. Point of contact and responsible for guests brought to the University of behalf of the VPSS. Coordinates with other departments in response to technical needs or to resolve problems. Informs supervisor of potentially controversial matters or other key issues.

Other General Duties

Maintain files and records in office and periodically move files to records management. Assist in general office duties in the Office of the Provost and VPSS including answering phones, scheduling conference rooms, office organization, and other duties as required. Direct supervision of student employees, interns, and practicum students; recruits and selects student staff. Responsible for reconciling monthly ledger, procurement and travel card transactions, ordering supplies, and other business related item that come through the VPSS Office. Coordinates onboarding of new employees.

Qualifications

Required Qualifications

Associate's Degree and one year of experience in an office setting including managing calendars and event planning.

Knowledge, Skills, Abilities:

Excellent written and oral communication skills. Strong decision-making and problem-solving skills. Time management and organization with attention to detail is a must. Extensive knowledge of Microsoft Office products, especially Outlook, Word, Excel, and SharePoint. Have the ability to keep information confidential. Ability to work effectively with a wide range of constituents.

Preferred Qualifications

Bachelor’s degree and five years of office experience. Two years’ experience providing executive level support. Prior experience in a university setting.
