The College of Nursing (CON) at the University of Tennessee Knoxville, the state’s flagship research institution, seeks a highly organized Administrative Associate to provide comprehensive operational coordination and day-to-day administrative support for the Office of Research and Scholarship (ORS). Reporting to the Associate Dean of Research (ADR), this role serves as the central point of contact for office operations, ensuring the seamless execution of administrative workflows and faculty support services.

REQUIRED QUALIFICATIONS:

  • Associate's degree
  • 2+ years' experience in a professional office environment or an equivalent combination of education, training, and experience.

Applicants must be legally authorized to work in the United States on a full-time basis without need now or in the future for sponsorship for employment-based visa status.

Preferred Qualifications:

  • Bachelor's degree in a related field
  • 3+ years of relevant experience, or an equivalent combination of education, training, and experience.

Work Location: Knoxville, TN – onsite – could be eligible for hybrid remote work at the discretion of the Dean

Compensation and Benefits:

  • UT market range: MR05
  • Anticipated hiring range: $43,000 – 45,000

• Provide comprehensive administrative support to ORS leadership, including complex scheduling, and coordinating appointments with external stakeholders

• Identify and resolve issues, independently manage routine and complex administrative requests, and escalate matters as appropriate to ensure efficient operations and timely response.

• Serve as a front-line point of contact for inquiries from faculty, students, and external partners

• Maintain and organize digital and physical filing systems for research materials, office operations, and meeting documentation.

• Coordinate travel arrangements through scheduling, booking, and logistics for ORS staff

• Gather materials to assist in the preparation of executive summaries and annual reports

• Prepare and proofread correspondence, reports, meeting agendas, and minutes

• Collect data, prepare materials, take minutes, maintain files, etc.)

• Format and proofread research documents, posters, grant proposals, and reports.

• Plan and execute events such as seminars, workshops, symposia, and networking events that facilitate interdisciplinary collaboration

• Maintain website and social media presence, collaborating with marketing to develop content and distributing announcements to email lists

• Perform other duties as assigned that support the ORS within the College of Nursing.
