JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Medical Administrative Assistant 1 maintains the medical records and serves as the referral coordinator for the Department of Family Medicine.

EDUCATION: High School Diploma or GED. (TRANSCRIPTS REQUIRED)

EXPERIENCE: One (1) year of work experience in office systems technology or completion of a physician office medical records management course (Experience in a medical office is preferred.)

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Knowledge of all HIPAA regulations.
  • Ability to determine if an authorization is HIPAA compliant.
  • Knowledge of electronic health records and Centricity Practice Solution.
  • Strong customer service skills on the phone and with patients in the office.
  • Ability to multitask between scanning documents into the electronic medical record and handling phone calls or helping employees and patients with medical records questions or issues.

  1. Obtains appointments for referrals and outpatient test scheduling; monitors the referral loop by generating and reviewing referral and outpatient test order reports.
  2. Verify patients’ insurance coverage and adhere to the insurance company's policies for scheduling tests.
  3. Records documents into the Electronic Medical Record.
  4. Obtains pre-certs for tests and schedules tests and procedures as requested by the UFP provider.
  5. Performs administrative duties to include patient registration, answers routine questions, telephone triage, sends/receives faxes, and general office duties.
  6. Serves as a medical records clerk for the department.
  7. Processes medical records requests, including other doctors’ offices, HEDIS audits, and risk adjustment audits.
  8. Assists with referral appointment scheduling when needed.
  9. Other duties as necessary.
