This staff position serves as a central point of contact within the department to maintain and analyze financial and non-financial data. This position requires dealing with complex problems that arise when managing a large department with various financial and administrative needs. This person needs to be relatively self-sufficient and capable of making decisions as issues arise, including issues not previously encountered, and know which responses are acceptable and when questions/approval needs to be escalated. This position will report to and be evaluated by the Office Manager and will regularly directly engage with department leadership relating to financial and non-financial data needs.

The Haslam College of Business (HCB) at the University of Tennessee, Knoxville, invites applications for a Financial Associate (Full-time, non-Exempt) in the Department of Accounting & Information Management (AIM).

Required Qualifications

  • Education: High school diploma or GED
  • Experience:
    • Minimum of 2 years of relevant, progressively responsible experience with general bookkeeping, accounting, financial administration, data/business analytics, or an equivalent combination of education, training, and experience.
  • Knowledge, Skills, Abilities:
    • Knowledge of financial bookkeeping, and general accounting principles

    • Knowledge of financial policies and procedures

    • Strong attention to detail

    • Basic to intermediate computer skills, including the ability to quickly learn new software systems

    • Ability to work independently under general supervision

    • Knowledge of Excel and Word and other Microsoft‑based products

    • Excellent written and verbal communication skills

    • Ability to work effectively with diverse constituents internal and external to the university

    • Ability to gather data, compile information, and prepare reports accurately

    • Ability to compare information to recognize and resolve discrepancies

    • Ability to use tact and discretion when dealing with a variety of issues

    • Ability to prioritize competing responsibilities and assignments

    • Ability to protect confidential information

Preferred Qualifications

  • Education:
    • Vocational or technical training in bookkeeping or accounting
    • Associate’s degree in accounting, business, data analytics, or related field
    • Bachelor’s degree in accounting, business, data analytics, or related field
  • Experience:
    • Previous experience with DASH
    • Experience in higher education environment
  • Knowledge, Skills, Abilities:
    • Beginner to intermediate Excel skills

Financial Data Management and Analysis

  • Follow UT’s financial policies and procedures
  • Responsible for performing detailed reviews of financial and HR information in order to identify and correct potential errors. Also involves entering data into financial systems (e.g., Ledgers, Scholarships, Petty cash)
  • Responsible for balancing the department p-card
  • Responsible for monitoring budgets and proactively communicating if expenditures are forecasted to exceed budgeted amounts.
  • Responsible for creating dashboards and other summary reports to help department leadership make financial decisions, leveraging college-level systems and reports available from FIO.
  • Responsible for maintaining the department’s equipment inventory records and maintaining Computer Upgrade Program (CUP) eligibility; proactively communicating with the Office Manager when faculty are eligible for CUP
  • Responsible for maintaining the department’s software/subscription inventory records; proactively communicating with the Office Manager when renewals are due

Non-Financial Data Management and Analysis

  • Responsible for collecting and maintaining data necessary for accreditation reviews and departmental reviews of faculty teaching performance (e.g., assurance of learning outcomes, student evaluations, peer teaching evaluations, faculty grade distributions, syllabi)
  • Assist the department head in compiling and reviewing the accounting AACSB report, following guidance from the college
  • Assist the department head in analyzing course performance from specific faculty and courses (e.g., creating dashboards or reports that highlight unusual grade distributions, student feedback, etc.)
  • Assist the department in forecasting enrollment needs, particularly for summer courses
  • Responsible for collecting and maintaining data necessary for the department’s annual magazine, AIM Higher (e.g., publications, student events, and other accomplishments)
  • Coordinate the creation of the department’s AIM Higher annual magazine, including department leadership and Haslam’s Marketing & Public Relations department
  • Assist MAcc Director and MAcc Coordinator with collecting and maintaining data relating to applications, scholarships, graduation forms, and job placement data.
  • Assist the department head and MAcc director in preparing for alumni and board presentations

CONTINUING EDUCATION/TRAINING/PROFESSIONAL DEVELOPMENT:

  • Must participate in all HCB training and professional development, including but not limited to regular training/seminars by FIO and TIS.
  • Complete all required UTK training modules via K@TE and other delivery platforms.
  • Proactively seek and actively participate in professional development/educational/training opportunities, with approval from DH/ADH. Resources may include LinkedIn Learning, K@TE, UTK Learning and Organizational Development, or external professional organizations.
