The purpose of this position is to provide administrative assistance to professors in the Educational Administration and Leadership Minor program areas as it relates to the faculty, staff, and students within the areas of the department; to the College of Education, Health and Human Sciences and other university faculty; and to persons outside the university on the local, state and national levels under the supervision of the Business Manager. This person coordinates the student admissions process required in the implementation of getting students enrolled in the Educational administration programs at the university using the Slate System; registering students in the Educational administration and Leadership Minor programs by using the BANNER System, Audit files for completeness, inputs new data into department and summarize information for Faculty to make admission decisions, coordinate with students and others to resolve problems regarding admissions, financial aid, paperwork and graduation. The person in this position is also responsible for coordinating and processing Human Resource forms which include onboarding and offboarding paperwork, etc. (hiring forms, I-9 verification, personnel change form, create/change position, termination, etc.) Process and maintain travel for faculty and graduate students in DASH for the EDAM and LEAD program.

Required Qualifications:

Education: High School Diploma, some college plus a minimum of 3-5 years’ administrative experience in an office environment

Experience:

  • Knowledge, skills, ability to work with Word Perfect, Word, Excel, Access, Adobe Acrobat, Banner, DASH system, ACCESS, Argos, Slate, Agiloft (Contract Management System), and 25 Live System.
  • Knowledge, skill and ability to use computers, calculators, work with internet, copiers/scanners, telephone, and voice mail system.

Knowledge, Skills, Abilities:

  • Highly proficient in Microsoft Office Suite (Word, Excel, PowerPoint) WordPress, Acrobat Professional, Slate Canvas and Argos, and Banner

  • Excellent organizational and communication skills (both oral and written) and have the ability to make independent decisions based on established policy and procedures must be a self-starter and work independently.

  • Highly proficient in Microsoft Office Suite (Word, Excel, Access Database, PowerPoint) WordPress, Acrobat Professional, Slate, Canvas and Argos, and Banners

Preferred Qualifications:

Education: Bachelor’s degree

Experience: 2 or more years of experience in a university setting, and some DASH experience

About The College/Department/Division: This position reports to the business manager in the Educational Leadership and Policy Studies Department. The Department of Educational Leadership and Policy Studies (ELPS) prepares administrators for schools and colleges, faculty for colleges and universities, and policy scholars for service in state, regional and national agencies associated with educational and human service enterprises. The department is comprised of twenty-four faculties and five staff.


  • Coordinate, prepare and process Human Resource forms which include onboarding and offboarding process (hiring forms, I-9 verification, personnel change form, termination paperwork, individual compensation forms, recurring payment, etc. in DASH for faculty, staff and students).
  • Process and maintain travel for faculty and graduate students in DASH for the EDAM and LEAD programs.
  • Preparation, duplication and distribution, processing and maintenance of records for EDAM and LEAD programs.
  • Travel Processing in DASH: Gather information from faculty and graduate students for travel funding form; enter in DASH system travel authorization, travel expense form, Contingent worker forms, T-3 paper travel expense form; maintain travel records for department; enter on excel sheet amounts charged for travel for professional development.
  • Run HR reports in DASH system, and process and verify travel cards information in DASH for faculty, and staff.
  • Assistance and serve as back-up to the Business Manager, and other administrative staff to promote a team effort to cover all duties, and situations that may arise in the department.
  • Assign work, supervise, and approve time for work-study students, and coordinate the equipment inventory process within the department.
  • Provide academic support in Banner, Argos, and Slate systems for faculty, staff and students.
  • Compile and keep updated email distribution list of all students in the Educational Administration program area
  • Audit Admissions to Candidacy form for all students in the EDAM Programs (PhD, EdD, EdS, and Masters).
  • Coordinate with graduate students in acquisition and organization of Admission to Candidacy Form, Comprehensive Examination form, graduation form, change in program form and various doctoral forms; preparing announcements of dissertation defenses; reserve rooms for department meetings, comp exams and dissertation defenses.
  • Assists in organization/coordination of departmental student orientation.
  • Maintaining and updating all student files, forms, and records for Educational Administration program area.
  • Admissions Board: Keep an ongoing excel sheet of prospective students interested in starting programs, print student's application files, contact students to schedule interviews, set up interview reports to give to review committee, send out admission letters with forms, and make a report for forms received.
  • Other duties as required.
