The Position:

The purpose of our Payroll Specialist is to facilitate payroll operations by collecting, auditing, and coding timesheets for accuracy. Posts and processes payroll using a computerized accounting system. Certifies the accuracy of payroll data, enters information into payroll software, and ensures that pay rates are calculated accurately. Provides related reports and notifications to management and human resources. Performs payroll related reconciliations.

Responsibilities:

  • Collects and applies proper coding to timesheets for entry. Disseminates MKAA payroll policy. Verifies availability of hours for leave requests.
  • Enters bi-weekly payroll data in the computer system. Verifies, enters, and submits payroll for all payroll deductions.
  • Maintains employee’s record in payroll system including selected benefits, direct deposit information, and salary/wage details.
  • Processes payroll for direct deposit. Uploads information to bank for Controller approval. Prepares and submits tax liability.
  • Prepares payroll deductions for accounts payable, and reports and upload payments for retirement plan contributions.
  • Supports Finance Staff and performs reconciliation of employee benefits accounts for accuracy of deductions and accruals.
  • Prepares required governmental reports including quarterly 941’s, SUTA, annual W2’s, W3, and 1095-C forms.
  • Assists employees with payroll questions.
  • Stuffs envelopes with paystubs and distributes.
  • Prints and distributes timesheets and payroll reports.
  • Communicates status to leaders and HR on key items and provides pay period data to management and on ad hoc basis as needed.
  • Supports for annual budget and audit processes.
  • Works closely with Human Resources on policy interpretation questions and other related projects, as necessary.
  • Supports payroll related policy changes as applicable.
  • Performs related work or special projects as required.

Job Requirements

The ideal candidate should have knowledge of accounting and payroll procedures, accruals, retirement plans, tax liability, direct deposit, accounting/payroll systems, and reporting tools. Candidate must be able to handle confidential information with ease on a regular basis. He or she must speak and write clearly, understand basic math, be able to make decisions, and have some experience in customer service. CPP or other related payroll certification is preferred.

Minimum Qualifications: Associate degree in business administration, finance, accounting, or equivalent work experience, with 3 to 5 years' experience in payroll and related software.
