JOB SUMMARY

The Administrative Support Specialist will perform administrative tasks and services to support effective and efficient operations of the Blount County Development Services office. The Administrative Support Specialist also must provide excellent customer service to all customers and coworkers, and perform general clerical duties for the office or department.

ESSENTIAL JOB FUNCTIONS

  • Scans and attaches documents to customer files;

  • Accepts, receives, and/or collects payments;

  • Maintains materials and discards outdated materials;

  • Processes and organizes mail;

  • Assists, answers questions and interacts with fellow employees and the general public;

  • Answers inquiries and assists the public and developers with planning and technical review issues; provides zoning, comprehensive plan, subdivision, floodplain, and future development information within scope of qualifications and authority;

  • Receives and processes a variety of planning, environmental, and development applications, permits, and technical documents, reviews applications for completeness, conformance with regulations, codes, and project specifications;

  • Assists in the preparation of required public notification for planning and zoning actions;

  • Assists with preparation of agenda packets for Planning Commission and Board of Zoning Appeals meetings;

  • Prepares a variety of routine and non-routine reports related to department activity;

  • Performs routine office tasks in designated program areas, including data entry, file management, copying, answering telephones, and responding to emails;

  • Develops and maintains automated tracking systems, hard copy files, and record;Prepares public notices and assures statutory requirements for timeliness of such notices are met;

  • Prepares maps, charts, and tables of limited complexity;

  • Provides administrative support, including drafting agendas and minutes, for department supported Boards and Commissions and attends such meetings after normal business hours as necessary; and

  • Performs other assigned duties.

Job Requirements

MINIMUM REQUIREMENTS TO PERFORM WORK

  • High School Diploma;

  • Two (2) year of experience;

  • Or equivalent training, education, and/or experience; and

  • Valid driver’s license.

KNOWLEDGE, SKILLS, ABILITIES

  • Knowledge of the principles and methods used in the specific office.

  • Skilled in the use of small office equipment, including copy machines or multi-line telephone systems.

  • Skilled in using computers for data entry.

  • Skilled in using computers for word processing and/or accounting purposes.

  • Ability to maintain a professional demeanor and an orientation towards customer service.

  • Ability to organize, and communicate effectively.

  • Ability to cooperate with fellow employees as a team member.

PHYSICAL DEMANDS

While performing the duties of this position, the employee is frequently required to sit, reach and manipulate objects, tools and/or controls. The position requires mobility. Duties may involve moving materials weighing up to 10 pounds on a regular basis. Manual dexterity and coordination are required over 50% of the work period while operating equipment, such as computer keyboard, mouse, calculator and similar machines. The position requires hearing, mental acuity, speaking, and visual acuity.

WORK ENVIRONMENT

Most work is performed in a well-lighted, modern office setting with centrally controlled heating and air conditioning.
