Purpose of the Job:
To support and provide effective operation of the school office. This role will serve as the bookkeeper and will develop, implement and support operations, policies, and objectives for the Academy. In addition, it will provide clerical support to faculty and staff. It is crucial that we remember that we may be the only reflection of Jesus our students may see. Our goal is to educate and inspire growth of the whole child: academically, developmentally, and spiritually.

Essential Functions and Responsibilities:
Develop and manage the overall school budget.
- Handle billing for tuition and all school-related fees and functions.
- Order office supplies, manage supply orders for classrooms at the beginning of the year, and oversee curriculum and textbook orders, all within the school budget.
- Review, process, and file invoices and check requests for accounts payable.
- Process credit card receipts and record various types of payments.
- Record and post all deposits in the Shelby Financial System.
- Log weekly deposits on the Finance Reporting Form and communicate with the Finance Specialist on a regular schedule.
- Assist in organizing and managing fundraising projects in collaboration with the Principal.
- Communicate with parents via email and phone calls to address inquiries and concerns.
- Provide administrative support to the Principal, including scheduling appointments, screening calls and visitors, and processing official paperwork.
- Verify time clock punches for hourly staff, ensuring accurate tracking to prevent overtime and manage position transitions due to faculty absences.
- Attend administrative and RCA meetings, taking notes and serving as a liaison for church meetings, including those of a confidential nature.
- Collaborate with the Principal to maintain the school website and social media, ensuring new content is posted regularly.
- Create and generate student and financial reports as needed.
- Work with the Principal to maintain the school calendar and coordinate with church staff to resolve any scheduling conflicts.
- Assist in preparing and coordinating student handbooks.
- Collaborate with the Principal to prepare lists for Preschool and Kindergarten graduations and manage diplomas and certificates for the ceremonies.
- Work with the front office receptionist and Principal to maintain accurate school records.
- Assist in overseeing the RCA window and duties.
- Maintain a welcoming and attractive reception area.
- Other duties as requested by the Principal as needed.
- In the absence of the receptionist, perform reception duties as needed.
Special Requirements:
- Highschool diploma or equivalent
- Three years of accounting and secretarial/ clerical experience, including data input and retrieval
- Exemplifies the fruit of the Spirit (Galatians 5:22-23)
- Ability to serve as a positive role model and relate effectively to a diverse population
- Proficient computer skills, Microsoft Office Suite (Excel, Adobe, Word, Publisher)
- Outstanding record keeping, filing and organizational skills
- Valid First Aid/CPR card or the ability to obtain a certification
- Ability to sit or stand for long periods of time and participate in gross motor activities, such as bending and stooping.
- Attendance and punctuality are essential in this position
