Position Summary:

The Learning & Development Admin II is an essential support role for the Corporate Learning & Development department in delivering best-in-class learning experiences across Clayton. This role assists with logistical details across a portfolio of programs (Ignite), provides department operations support, and leads the coordination and deployment of all development program assessments.

Duties and Responsibilities:

Learning Program Support

Assists the Learning & Development team with program and workshop logistics, and operations support.

Administrative Support:

  • Manages team meeting schedules and organization.

  • Provides administrative support to the department leader as needed.

  • Participates in additional department projects as identified through team planning and goal setting.

Logistics and Operations:

  • Assists with setup, breakdown, and off-site activities for workshops/classes, following program curricula.

  • Prepares workshop/class materials, swag gifts, and technology.

  • Orders workshop/class supplies and materials (books, audible codes, supplies, swag, etc.).

  • Downloads and emails participant guides and participant headshots.

  • Creates and emails all calendar invites for workshop/class and meals for participants and guests.

  • Exports and logs travel survey data and inputs it into participant information tracking sheets.

  • Creates food allergy tracking sheets.

  • Creates and maintains participant master tracking sheets in Smartsheet.

  • Assists with organizing, reviewing, and sending communications to program participants when needed.

  • Creates and modifies process documentation to improve and optimize program logistics.

Technology:

  • Manages iPad preparation, including charging and uploading/downloading participant guides before and after each workshop/class.

  • Provides Learning Management System (LMS) and SharePoint administrative support by responding to service tickets, tracking participant attendance, managing content, and running reports.

Financial Management:

  • Processes department and program expenses/invoices, including maintaining up-to-date budget spreadsheets.

Qualifications:

  • Possesses strong written and verbal communication skills, establishing rapport and building credibility with management and team members.

  • Possesses strong time management skills.

  • Demonstrates a professional demeanor and commitment to providing an excellent team member experience.

  • Excels in organizational and planning skills, with the ability to prioritize, be detail-oriented, and resourceful.

  • Confidently handles competing priorities, works autonomously, and maintains composure in high-pressure situations.

  • Adapts quickly and effectively to change, demonstrates composure under pressure, and consistently brings a positive, helpful attitude to the team.

  • Possesses the ability to think critically, offer different/alternative perspectives for consideration, and actively seeks continuous improvement opportunities.

  • Has a minimum of two (2) years of administrative assistant experience or related work experience.

  • Has advanced knowledge of Outlook, Microsoft Office Suite, project management tools, and internet research skills.

  • Possesses a strong technical aptitude and is comfortable utilizing a variety of applications and tools.

Preferred experience:

  • Learning Management System (LMS) administration

  • Smartsheet

  • Qualtrics
