Campus Operations Services Specialist II

The Campus Operations Services Specialist II will provide high-level coordination and operational support to the Director of Operations, Hospitality & Security. This role requires a highly organized, detail-oriented professional capable of managing a diverse portfolio of administrative, logistical, and cross-functional initiatives. Operating in a fast-paced, mission-driven environment, this position contributes to the development and execution of key departmental programs that shape the organization's hospitality standards, physical safety protocols, and operational excellence.

Campus Operations Services Specialist II Requirements

  • Exceptional organizational skills and attention to detail.

  • Strong written and verbal communication abilities.

  • Proficiency with Microsoft Office Suite (PowerPoint, Word, Excel) and other relevant tools (e.g., Canva, Asana, Banana tag, or similar project management platforms).

  • Ability to manage multiple priorities in a fast-paced environment.

  • Professionalism, discretion, and a collaborative approach to working with diverse teams.

  • Experience supporting branding or communication initiatives is a plus.

Campus Operations Services Specialist II Duties

  • Support budget administration by assisting with expense tracking, invoice submissions, and financial record-keeping.

  • Coordinate with legal, procurement, tax, and accounting teams to facilitate vendor onboarding and ensure compliance with internal processes.

  • Oversee contract workflows from negotiation to approval, ensuring all documentation meets policy and regulatory standards.

  • Maintain organized records of vendor contracts, payment schedules, and service agreements.

  • Serve as a key liaison between leadership, legal, accounting, tax and vendors—helping to streamline sourcing, manage contract negotiations, and ensure smooth handling of payments and operational logistics across the department.

  • Lead the planning, coordination, and logistics for key departmental meetings and initiatives, including monthly leadership roundtables, quarterly senior leadership offsites, and organization-wide All Hands.

  • Prepare presentation materials, draft agendas, capture meeting notes, and track action items to ensure follow-through across leadership and project stakeholders.

  • Support internal brand execution by managing swag, uniforms, communications, and related touchpoints—gathering feedback, coordinating approvals, and ensuring alignment with leadership expectations.

  • Partner with department leaders to support the development and implementation of operational programs, branding initiatives, and special projects.

  • Organize and enhance internal workflows by improving meeting structures, optimizing planning processes, and supporting cross-functional collaboration.

  • Conduct research and synthesize information into reports, briefings, monthly dashboards or executive-ready materials to support strategic planning and leadership decisions.

  • Collaborate with leadership to evolve departmental policies, templates, and procedures to better support structure, consistency, and scale.

  • Support special departmental projects by conducting research, evaluating options, and preparing recommendations or summaries for leadership review.

  • Act as a key point of contact for cross-functional project teams, helping to maintain alignment, timelines, and clear communication across stakeholders.

  • Track progress on departmental initiatives, flag potential risks or roadblocks, and support follow-up on outstanding items.

  • Assist with documentation, planning, and status updates for projects that span multiple teams or functions, ensuring timely leadership visibility.

  • Coordinate project-related logistics, such as vendor meetings, milestone tracking, or resource planning, in collaboration with internal leads.

Campus Operations Services Specialist II Education: Bachelor’s degree in relevant field preferred; or equivalent practical experience

Campus Operations Services Specialist II Years of Related Experience: 3+ years of prior experience in an administrative, project coordination, or similar role
