Position Summary:

This position is designed to provide supervisory leadership to staff level employees of the File Room, coordinating such activities with the department’s Manager. Analyzes the Imaging medical records to obtain information necessary for the appropriate sequencing and assignment of ICD-9CM and CPT-4 codes. Assists the Business Office in timely billing of patient information. Assists the PACS Administrator by ensuring Imaging patient records are accurate. The incumbent is expected to exercise independent judgement and discretion in performing the duties listed below.

Responsibilities

  • Oversees the work of other personnel by training, allocating, and monitoring work. Performs work of a similar nature.
  • Monitors Pre-certs and matches orders to completed exams.
  • Reviews Imaging medical records to determine the ICD-9CM and CPT-4 codes to be utilized, in accordance with coding and reimbursement guidelines.
  • Reviews unbilled accounts reports daily and makes necessary adjustments to ensure all records are coded in a timely manner.
  • Participates in coding quality reviews as required.
  • Assists physicians and clarifies coding versus clinical issues.
  • Assists coders with imaging coding questions to ascertain the appropriate codes for billing and statistical information; refers coding questions to the Imaging Manager as needed.
  • Contacts physicians for clarification when necessary.
  • Monitors pending/incomplete work reports.
  • Works with KBOS on Imaging delayed database claims.
  • Participates in performance appraisal of staff.
  • Participates in hiring process, including hiring recommendations to the Manager and or Supervisor.
  • Make recommendations for possible disciplinary actions to the Manager and or Supervisor.
  • Makes work assignments and directs work activities. Coordinates staff relief for meals, breaks, meetings, Paid Time Off, Sick Time and other time off.
  • Projects staffing needs, coordinating schedules and adjustments in staffing level as needed.
  • Serves as technical resource for staff. Edits reports and acquires proper signatures.
  • Demonstrates an understanding of medico legal implications and responsibilities related to patient records to protect the patient and institution.
  • Demonstrates competency of Imaging Clerical Associate skills.
  • Follows policies, procedures, and safety standards. Completes required education assignments annually. Works toward achieving goals and objectives, and participates in quality improvement initiatives as requested.
  • Performs other duties as assigned.

Qualifications

Minimum Education:

High school diploma, Associates Degree in related field preferred.

Minimum Experience:

Minimum of two (2) years supervisory experience required. Radiology coding experience preferred.

Licensure Requirement:

Diagnosis and Procedural Coding Certificate preferred.
