BASIC PURPOSE OF THE JOB

Responsible for a complete and accurate payroll process; developing and directing payroll procedures; ensuring compliance with laws and tax obligations; and maintaining accurate payroll records. Possesses extensive knowledge of payroll systems and is responsible for maintaining the various systems and databases that make the payroll process successful.

Minimum Education: Bachelor’s degree preferred.

Degree: Business or Hospital Administration

License/Certification Required:

Minimum Work Experience: Minimum 3 years previous experience in a similar payroll environment with more than 1000 employees. Workday experience preferred.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

  • Proficient in MS Office.
  • Proficient in UKG or similar time and attendance/scheduling product.
  • Proficient in automated Payroll Systems, preferably Workday.
  • Excellent organizational skills and time management skills required.
  • Ability to manage multiple priorities
  • Independent discretion/decision making
  • Ability to make decisions quickly under pressure
  • Knowledge of compliance related to payroll practices
  • Ability to communicate complicated matters at all levels of the organization

DUTIES AND RESPONSIBILITIES

  • Coordinates biweekly payroll of the hospital ensuring that time transactions are recorded accurately, any problems are addressed in a timely manner, and payroll is processed by the appropriate deadline.
  • Assures that the above processes are completed in adherence to hospital policy.
  • Works with ADP to validate that payroll files are accepted in a timely manner, that quarterly totals are reconciled to Workday, and that state tax agencies are added as needed.
  • Validates employee payment election information in Workday, adds new account information as needed, and pre-notes all changes through their appropriate bank.
  • Maintains payroll procedures manual and other process documentation. Responsible for updating same in a timely manner.
  • Actively participates in special projects to research, provide input and effectively implement new payroll practices, earnings, or benefits.
  • Coordinates appropriate manual payments for terminations, pay corrections, etc.
  • Audits biweekly payroll file for timecard errors and WD errors coming into payroll from HCM. Engages with H/R to implement viable solutions to common errors.
  • Demonstrates an in-depth knowledge of payroll regulations, Kronos, and the Workday payroll system.
  • Works with ADP to reconcile annual wages to payroll registers and to generate and distribute W-2 forms annually.
  • Adjusts employee withholdings for unusual benefit events each pay period.
  • Collaborates with the Payroll Specialist to ensure that we have full backup for the routine payroll process.
  • Responds to payroll audits as necessary

Light lifting, pushing and pulling is required for 10-20 lbs occasionally and frequent moving of objects of less than 10 lbs is required. Frequent sitting with some walking, standing, squatting, bending and reaching is required. Keyboard/computer use and/or repetitive motions may be required.
