BASIC PURPOSE OF THE JOB
Coordinates communications between the laboratory and other hospital departments, physicians, offices and the outside world via the hospital/laboratory information system, telephone, written word and personal contact. Assists and collects specimens for laboratory procedures; assists with other duties in the laboratory and hospital that do not require licensure as assigned.

Minimum Work Experience: Two years related experience required
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
- Excellent typing, computer and clerical skills required. Customer service skills.
DUTIES AND RESPONSIBILITIES
- Orders office and breakroom supplies for Laboratory to maintain adequate inventory. Demonstrates reliability, speed, and correctness in reporting and specimen processing, ensuring quality inspection. Completes reports, secretarial duties and specimen processing in a timely manner.
- Provides research and administrative support to special projects. Gathers information requested by department director. Prepares and collates data for projects and studies: Understands instructions prior to beginning a project. If not clear, asks appropriate questions for clarification. Maintains and keeps current employee telephone and license lists. Prepares reports, which are legible, logical in sequence, and thorough.
- Composes correspondence, memos, and reports as instructed. Enters work orders into Meditech or if needed “track-it”. Answers telephone calls by the third ring.
- Types, formats, edits, and proofreads a variety of material, including correspondence, memos, reports, charts, statistics, minutes, etc: Sentences/paragraphs are logical, clear, and concise. Reports are prepared with special word processing or statistical computer programs, utilizing charts, graphs, or appropriate features.
- Prepares for meetings and facilitates any logistics required (handouts, room reservation, beverages, etc.)
- Meets deadlines in processing reports, specimens and secretarial duties.
- Coordinates resources for outreach services for both the laboratory and pathology services. Acts as a liaison with physicians, offices, other departments, and patients. Interacts with and responds to calls and visits from employees, vendors, volunteers, patients, and other visitors. Determines urgency of the situation; suggests appropriate referrals. Answers telephones, prioritizes, screens and redirects calls.
- Answers questions, handles routine matters on own initiative and takes messages.
- Distributes daily interoffice and U.S. mail to appropriate staff.
- Maintains confidentiality of any confidential information. Interactions are customer oriented, courteous, and helpful, with timely follow-up when needed.
- Demonstrates respect and regard for the dignity of all patients, families, visitors, and fellow employees to ensure a professional, responsible, and courteous environment.
- Manages a large quantity of work processed per shift without quality suffering
- Promotes effective working relations and works effectively as part of a department/unit team inter- and intra-departmentally to facilitate the department’s/unit’s ability to meet its goals and objectives
- Serves as a positive influence on the work of coworkers: cleanliness, work habits, communications. Influences the efficiency of others: quality specs, timely performance of duties. Creates a productive work environment as related to expectations, interruptions, schedules, etc.
- Assists the pathologist as needed for pathology procedures.
- Promotes effective working relations and works effectively as part of a department/unit team inter- and intra-departmentally to facilitate the department’s/unit’s ability to meet its goals and objectives: Completes work assignments on time and Willingly accepts any other assignments as requested.
- Responsible for interacting with other hospital departments regarding laboratory financial matters, including, but not limited to, the purchasing, accounts payable, accounts receivable, and stores. Will also monitor and maintain services provided by outside vendors. Ensures delivery of payments to vendors: Prepares correct paperwork for renewal of purchase orders, standing orders, and service agreements for laboratory equipment and supplies.
- Minimizes costs in supplies, time and training, back-up support by following established procedures and taking care to “do it right the first time”.
- Minimizes costs in processed reports, specimens, secretarial duties, QI, etc. by following established procedures and taking care to “do it right the first time”.
- Utilizes hospital resources and time respectfully and accountably.
PHYSICAL REQUIREMENTS

- Light lifting, pushing and pulling is required for 10-20 lbs occasionally and frequent moving of objects of less than 10 lbs is required. Frequent sitting with some walking, standing, squatting, bending and reaching is required. Keyboard/computer use and/or repetitive motions may be required.
