Job Description

This position will assist in departmental faculty affairs and provide redundancy in the critical area of the departmental office. The position will be responsible for faculty searches (TT and NTT), promotion & tenure, leaves of absence, modified duty leaves etc. Assist faculty that may need help in completing documentation & verifying contact.

The position will process travel for faculty, research positions and invited guests (e.g. visitors, seminar speakers, faculty candidates etc.) as well as make flight & room reservations. In addition, they will complete travel reimbursements when trips are done. The position will provide administrative assistance to faculty in developing schedules for guest speakers, faculty candidates, including room reservations. The position will also process invoices; petty cash ensuring proper accounting and hire paperwork as needed.

They will be the backup to the graduate affair positions. They will work closely with the Business Manager on various tasks to include the departmental equipment inventory. They need to be able to understand The University’s Fiscal and HR policies and procedures. This position will have the responsibly of a travel and procurement card, properly reconciling charges each month.

Responsibilities

This person will be responsible for all faculty affairs responsibilities, equipment inventory, supply ordering & handling travel for faculty and guest travelers, reconciling their travel and procurement cards and other departmental duties assigned by the Business Manager.

Qualifications

Required Qualifications

Education:

  • High School diploma & four years of relevant work experience.
  • Associate degree with two years of relevant work experience.

Experience: Two-four years of experience working in a busy office setting. Has a good working knowledge of Office Suites.

Knowledge, Skills, Abilities:

  • Knowledge of large platform financial/HR systems
  • Ability to multi-task
  • Interpersonal and communication skills
  • Ability to work well with others
  • Good writing skills
  • Problem-solving & critical thinking skills

Applicants must be legally authorized to work in the United States on a full-time basis without need now or in the future for sponsorship for employment visa status.

Preferred Qualifications

  • Knowledge of Interfolio
  • Knowledge of UT Fiscal & HR policies and procedures
  • Knowledge of DASH.
  • Knowledge of the Travel Process at UT.

Work Location: Knoxville, TN in the Ken & Blaire Mossman Bldg. This is an on-site position.

Compensation and Benefits

  • UT market range: MR05
  • Anticipated hiring range: TBD based on experience.
