The Division of Student Life at the University of Tennessee invites applications for the Administrative Support Assistant (Office Manager) position for Student Conduct & Community Standards (SCCS). This is a 12-month, full-time, staff position.

Required Qualifications

Education: High School Diploma or GED

Experience: 3 years administrative office experience

Knowledge, Skills, Abilities:

  • Experience with multi-tasking, customer service, and confidentiality.

  • Strong customer service skills; Ability to connect students, faculty, staff, and families to campus partners as appropriate.

  • Ability to maintain confidentiality.

  • Strong Microsoft Office application (e.g., Word, Excel, PowerPoint) skills.

  • Excellent organizational skills; Strong interpersonal skills, including oral, written, listening and communication skills.

  • Ability to multi-task in a fast-paced, diverse work environment; Ability to work in a team environment.

Preferred Qualifications

Education: Bachelor’s Degree

Experience: Experience in higher education/student focused environment

Knowledge, Skills, Abilities:

  • Knowledge of student disciplinary process and/or higher education.
  • Knowledge of Maxient, DASH, TALEO, and/or Banner operational systems.

Compensation and Benefits

  • UT market range: MR05
  • Anticipated hiring range: Minimum starting rate is $19.00/hr. Final salary will be commensurate with education and experience.

Responsible for providing administrative and case coordination for SCCS to support students engaged in the student disciplinary process. Primary duties are as follows:

  • Assist with receiving, reviewing, and evaluating confidential Student Conduct incident reports, as well as assists in assigning reports to appropriate staff member. Alert staff members to crisis situations.

  • Create and maintain confidential case files utilizing Maxient, Banner, an CS Gold; Send appropriate correspondence to students, faculty, staff, and other constituents regarding status of cases, required meetings, and other updates.

  • Add and remove student disciplinary holds; Ensure FERPA compliance; Assist with disciplinary background checks and ensures compliance with state, federal, and local laws & policies.

  • Assist with distribution, collection, and analysis of survey and assessment data; Assist in managing SCCS email account & phone by responding to questions & concerns and making referrals as appropriate.

  • Provide administrative support for department programs & services; Arrange meeting & special events, including room reservations, order food, etc. Prepare documents for formal hearings as required by law and Code of Conduct.

  • Maintain inventory and order supplies; Keep supply cabinets, storage rooms, and office in order.

  • Prepare and process hiring documents; Process terminations; assist Student Life Finance and Administration with any office-related needs; assist director with office budget; work with Student Life Finance & Administration with budget reconciliation as needed.

  • Create, submit, edit, and track travel requests and reimbursements for professional staff; Coordinate travel arrangements for staff; Process required information for registration fees, travel reimbursements, etc. in appropriate databases.

  • Provide administrative support for department search committees (e.g., travel arrangements, interview schedules, etc.)
