The College of Veterinary Medicine invites applicants to apply for the position of Accounting Specialist, located within Hospital Operations. This position exists to execute the process of procuring goods, paying invoices via procurement card or invoice, and verifying the accuracy of invoices and procurement charges for Hospital Operations at UTVMC. This position also ensures expenditure activities are in compliance with fiscal policies, analyzes data to forecast the need for purchase agreements or contracts, assists in maintaining departmental accounts, analyzing information for potential purchases, and maintains the integrity of account policies and procedures for the department. This position also serves as backup to the Business Manager and Administrative staff.

Required Qualifications:

  • Education: High school diploma or GED
  • Experience: At least 2 years of bookkeeping/accounting experience
  • Knowledge, Skills, Abilities: Knowledge of basic accounting procedures. Excellent organization skills. Effective verbal and written communication skills. Excellent computer skills, including Microsoft Office and related products. Ability to pay close attention to details. Ability to multi-task.

Applicants must be legally authorized to work in the United States on a full-time basis without need now or in the future for sponsorship for employment-based visa status.

Preferred Qualifications:

  • Education: Associate’s degree in Accounting, Business, or related field
  • Experience: 4 years of bookkeeping/accounting experience.
  • Knowledge, Skills, Abilities: Knowledge of DASH and the Veterinary Teaching Hospital computer system.

About The College

The UT College of Veterinary Medicine (UTCVM), located in Knoxville, was established by an act of the Tennessee Legislature in 1974 and is part of the University of Tennessee Institute of Agriculture.

UTCVM is one of 33 veterinary colleges in the United States and provides opportunities for Tennessee students while serving pet owners and the livestock industry as well as protecting public health, enhancing medical knowledge and generating economic benefits to the state and nation.


Procures goods for Hospital Operations, to include paying by procurement card or requesting an invoice for payment, assigning appropriate account numbers for invoices to be paid against. Ensures all purchases meet fiscal policy and sets up new accounts with vendors.

Expedites vendor payments by adhering to established university policies and procedures as well as college guidelines. Verifies and secures vendor information to facilitate the invoice payment process in DASH. Any and all documentation required for vendor creation must be appropriate (domestic as opposed to international), accurate, and complete to generate a new vendor account. The sensitive nature of the information requires respect for confidentiality in all communication between parties. Forecasts the need for purchase agreements or contracts.

Reconciles all charges for credit card holders. This includes proper documentation, COAs, distribution of charges, determining authorized purchases, providing descriptive data for each charge to facilitate reporting by Business Manager and Department Head. Troubleshoots all discrepancies and contested charges for resolution with department and card holder. Assist Office of Audit in regards to information which ensures that the department is adhering to fiscal policies and guidelines established by the University of Tennessee.

Coordinates and processes injury reports for students. Serves as backup to Administrative Support Assistant, issuing parking passes, resolving swipe card issues, and other miscellaneous items. Serves as backup for Business Manager in data entry activities, ledger reconciliation, etc.
