Reporting to the Assistant Director of the Leadership, Strategy, & Supply Chain Division, the primary responsibility of this position is general program support leadership to include overseeing and supervising program operations and delivery, with a secondary role for relationship development with student participants and corporate partners. This position will work with other program coordinators to support all student services and program delivery aspects of degree and non-degree course offerings within Graduate & Executive Education, including building and enforcing processes, and administrative support associated with all student services and program delivery aspects. Additionally, marketing strategy, recruiting and budgeting are part of this role. Program operations and delivery includes planning and coordinating team efforts with the collaborating institutions for the off-campus residency periods, both domestically and internationally. Some domestic travel will be required.

The Haslam College of Business (HCB) at the University of Tennessee, Knoxville, invites applications for a Program Coordinator (Full-time, Non-exempt) to join our Graduate & Executive Education office.

Required Qualifications

  • Education/Experience:
    • Associate's degree in business, education, or related field plus 2 years professional experience OR Bachelor's degree in business, education, or related field plus 1 year of professional experience

    • Requires professional experience in an administrative or project management role

  • Knowledge, Skills, Abilities:
    • Knowledge of academic program structure, delivery, and processes (e.g., curriculum development, student assessments)

    • Knowledge of project management methodologies, event planning, logistics and coordination

    • Strong understanding of customer service principles in an academic or professional setting.

    • Proficient in managing multiple projects simultaneously, ensuring deadlines are met, and maintaining a structured approach to task prioritization.

    • Excellent oral and written communication, ensuring clear, concise, and effective exchange of information with all stakeholders.

    • Data gathering and analysis to assess program performance, identify areas for improvement, and implement necessary changes.

    • Strong attention to detail; commitment to customer service; adaptability; cultural sensitivity; ability to communicate with different types of individuals including executives, faculty and corporate customers.

Academic & Organizational Management/Day-to-Day Program Operations

  • Provide comprehensive support for degree and non-degree programs, ensuring the seamless delivery of academic services, events, and experience for all stakeholders and ensuring that budgets are adhered to per the Assistant Director's contractual delegations.
  • This role will effectively manage all logistics, communication and technology for the academic program(s):
    • Registration & Program Management: Oversee student participant registration, matriculation requirements, and the graduation/program completion process, ensuring all academic milestones are met for student participants.
    • Faculty and Student Participant Communication: Manage weekly communications to ensure clear and timely updates to both student participants and faculty, promoting a positive and productive academic environment.
    • Department Collaboration: Coordinate all logistics requests with Event Services, DART, vendors, and parking teams to coordinate logistical needs for academic events and activities, ensuring all aspects are handled smoothly and efficiently.
  • Financial Aid & Billing Support/Records and Fee Management:
    • Assist with financial aid initiatives, address billing inquiries, and process necessary documentation to support participant financial needs.
    • Oversee student participant records management, fee payments, and ensure that all processes are completed in a timely and accurate manner.
  • Technology & Virtual Learning Support:
    • Canvas Platform Oversight: Coordinate faculty and student participant on-boarding maintaining a continuous flow of relevant materials, communications, and resources.
    • Manage the delivery of virtual classes and meetings via platforms like Zoom, Microsoft Teams, and other Microsoft Suite tools. Ensure that recordings are properly managed, providing a seamless and effective technological experience for all stakeholders.

Academic Support & Service Excellence

  • Program Delivery: Ensure the seamless delivery of academic programs by overseeing and coordinating all aspects of academic support services, contributing to a smooth and effective learning environment.
  • Student Participant Support & Guidance: Assist students with academic challenges, offering guidance and resources throughout their program to ensure their success.
  • Process Improvement: Continuously evaluate ways to improve program operations to enhance overall experience and address areas for improvement.
  • Relationship Building: Cultivate strong, effective relationships with faculty, staff, and stakeholders to ensure a high return on investment (ROI) for all stakeholders involved in the program.
  • Curriculum & Scheduling Oversight: Monitor the curriculum, schedules, and faculty requirements to ensure smooth and effective academic delivery across all programs.
  • Program Evaluation: Evaluate the program’s effectiveness through pre-entry, mid-term, and exit evaluations, providing valuable feedback to drive improvements.
  • Extra-Curricular Components: occasional travel and event support for off-campus program locations.
  • Marketing Materials & Promotion: Manage program marketing materials, apparel, and promotional items, including tracking inventory, ordering new items, and coordinating mailing as needed.

Interdepartmental Relations & Event Services

  • Interdepartmental Collaboration: Act as the primary liaison between multiple internal and external departments, ensuring seamless coordination and communication across teams.
  • Customer-Centric Operations: Provide exceptional service and support to internal and external stakeholders, including students, faculty, staff, alumni, and business partners, ensuring that their needs are met with professionalism and care.
