The Office of Human Resources is seeking ambitious working professionals to apply for the role of HR Assistant. This position provides key support to the Human Resources Office and is a critical part of day-to-day operations. The ideal applicant would excel at greeting employees and visitors, answering incoming phone calls, directing inquiries to the appropriate staff or resource, assisting with new hire I-9s, sorting and distributing mail, ordering supplies, keeping information organized, and providing general administrative support to the department.
The Human Resources Assistant provides essential administrative and customer-service support for the Human Resources Office at the University of Tennessee, Knoxville, by serving as a primary point of contact for employees, applicants, campus partners, and visitors. This role is responsible for creating a welcoming, professional front office environment, answering phone calls and general HR email inquiries, and ensuring visitors and clients are directed to the appropriate HR resource in our suite. The position also supports key HR processes by assisting with new-hire I-9 coordination, including scheduling, completing forms, verifying documentation, and scanning/attaching records. Success in this role requires strong customer service and communication skills, attention to detail, the ability to manage multiple tasks and sensitive information, proficiency in Microsoft Office, and a consistent commitment to professionalism and confidentiality.
Required Qualifications
Education: High School Diploma or GED
Experience: 2 years of experience in customer service field in a professional setting with primary responsibilities of an office/clerical nature.
Knowledge, Skills, & Abilities:
o Knowledge of Microsoft Office suite specifically Excel, Word and Outlook.
o Strong customer service skills.
o Outstanding communication, interpersonal and organizational skills.
o Ability to perform tasks independently and efficiently.
o Ability to perform under strict deadlines and be self-motivated.
o Ability to collaborate effectively with campus partners and visitors.
o Ability to follow detailed instructions.

Experience:
o Experience in a Human Resources office.
o Experience with I-9 processing.
o Experience working with sensitive documentation.

About The Department:
The Office of Human Resources serves as the hub for UT employees, overseeing day-to-day operations on campus, as well as the well-being and development of the UT family. The unit manages recruitment, onboarding, training, performance evaluation, employee relations, personnel data, and so much more. Additionally, HR handles benefits administration and creates a positive workplace culture by fostering collaboration and addressing employee concerns.
• Provide front-line administrative support with excellent customer service; greet visitors; provide visitor support, including answering phones and taking messages; notify staff of visitors to the office.
• Receive and direct/distribute general HR inquiries and communications (phone, email, mail, etc.).
• Provide general customer service to all customers in person or via phone/email.
• Complete all tasks related to new employee I-9s, including booking, verifications, documentation, etc.
• Provide basic information regarding job application status and troubleshooting.
• Assist visitors in completing applications for university jobs at kiosks.
• Schedule and manage internal office space reservations, and reserve external meeting & event spaces as needed.
• Open and close the office during hours of operation.
• Assist with administrative duties related to trainings, events, surveys, code or account requests, etc.
• Support HR Office Manager as needed
• Order and manage inventory of office equipment and supplies.
• Additional office tasks and projects as needed.
