The University of Tennessee Foundation, Inc (UTFI) invites applications and nominations to fill the position of Annual Fund Coordinator, Ticketing Operations for the Tennessee Fund. Reporting to the Senior Associate Athletic Director of Development, Annual Fund, the Annual Fund Coordinator, Ticketing Operations is responsible for overseeing and coordinating donor-related ticketing operations for the Tennessee Fund and serves as a subject matter expert on donor ticketing matters. The position is responsible for supporting season ticket renewals, relocations, postseason and away-game ticket allocations, and other donor ticketing processes while ensuring these activities are administered accurately, consistently, and in accordance with established policies and donor eligibility requirements.

The Annual Fund Coordinator, Ticketing Operations exercises discretion in interpreting ticketing policies and determining appropriate solutions based on donor circumstances, ticket availability, giving levels, operational requirements, and departmental priorities. The position evaluates ticket inventory, donor demand, and historical trends; advises Tennessee Fund leadership, staff, and campus partners on ticketing strategy and allocation considerations; and identifies opportunities to enhance ticketing processes and the overall donor experience.

Required Education and Experience

The candidate who fills the Annual Fund Coordinator, Ticket Operations position is required to have:

  • 1+ year of relevant full-time professional experience.

  • Working knowledge of Microsoft Office and related computer operating systems.

  • Experience with Ticketmaster ticketing systems and/or donor management databases.

  • Exceptional attention to detail and accuracy in all phases of work

A valid driver’s license with an acceptable driving record is required due to travel responsibilities of the position. UTFI reserves the right to consider all appropriate circumstances. In general, any significant driving offense less than 12 months old will eliminate the application from consideration for the position.

Preferred Education and Experience

In addition to meeting the required qualifications, the preferred candidate will have:

  • Master’s degree

  • Professional experience in ticketing, athletic development, fundraising, customer service, or a related field preferred.

  • Ability to communicate effectively and professionally with current and prospective donors, colleagues, and internal stakeholders.

  • Ability to make personal visits and phone calls to current and prospective donors.

  • Ability to manage multiple priorities and work effectively in a fast-paced environment.

Job responsibilities include, but are not limited to:

Donor Ticketing Operations: Oversee and coordinate donor ticketing processes for the Tennessee Fund, including season ticket renewals, relocations, postseason allocations, and away-game allocations. Manage the assignment of season and individual-game football and basketball tickets, ensuring requests are handled accurately, efficiently, and consistently under applicable policies. Exercise discretion in interpreting ticketing policies, weighing donor circumstances, giving levels, ticket availability, and operational requirements to determine the right solution. Monitor processes and inventory to catch discrepancies and operational issues before they affect donors.

Strategic and Advisement: Evaluate ticket inventory, donor demand, historical trends, and operational needs to identify challenges and recommend allocation approaches. Advise Tennessee Fund leadership, staff, and campus partners on ticketing strategy, allocation considerations, and operational risks, along with recommended solutions. Analyze matters that go beyond routine processing and work with the appropriate stakeholders to reach effective outcomes. Use trend monitoring to find opportunities to improve the allocation process and the overall donor experience.

Coordination and Liaison: Serve as the Tennessee Fund's subject matter expert and primary liaison with the UT Ticket Office and Ticket Sales Department on donor-related ticketing matters. Coordinate and communicate with Tennessee Fund staff on allocation processes, operational considerations, and recommended courses of action. Keep all parties aligned so that donor ticketing decisions are carried out smoothly and consistently across departments. Collaborate with partners to resolve complex situations while upholding established policies and departmental priorities.
