Job Description

The University of Tennessee, Knoxville invites applications for a full-time, hourly Financial Associate in the College of Communication and Information (CCI).

Position Summary: This position reports to the Business Manager in the College of Communication and Information (CCI) serving as the Financial Associate for the College. This position is responsible for a variety of financial and administrative tasks, including accounts payable, accounts receivable, human resources, and general administration. The individual will handle financial transactions, enter scholarships for payment, provide travel guidance to staff and faculty, and ensure compliance with policies and procedures. Additionally, they will initiate contract and purchase order processes, assist with human resources entry as needed, and support administrative tasks across the other CCI departments.

Responsibilities

Responsibilities:

  • Serve as travel expense subject matter expert: train and advise users on travel system. Troubleshoot as requested.
  • Act as delegate for CCI employees to assist with entering and processing travel requests and expense reports.
  • Assist departments with planning trips involving students.
  • Provide CCI employees with guidance on travel cards and utilizing World Travel/Get There.
  • Enter contract and purchase agreement (PA) requests for CCI, including vendor and dual services agreements.
  • Maintain a working knowledge of UT contract policy and procedures.
  • Process/enter contracts in the contract management system.
  • Maintain, request and update vendor files.
  • Provide guidance to staff/faculty on best practices and procedures for contracts and PAs.
  • Direct central inbox emails to the appropriate staff member of CCI Office of Finance and Administration.
  • Assist the Business Manager with accounts payable/receivables.
  • Assist the Assistant Director and Business Manager with gathering data required for annual audit and any other financial requirements throughout CCI.
  • Transfer Vouchers: complete internal and external transfer vouchers.
  • Manage check and credit card depositing process for CCI.
  • Manage college scholarship entries in Scholarship Manager.
  • Ensure timely reconciliation of any financial system and adherence to policy.
  • Notify Business Manager if non-compliance is observed and elevate to Business Manager or Assistant Director to resolve compliance issues as needed.
  • Supply documentation, information & reports for Business Manager, Assistant Director, auditors and other parties as needed.
  • Provide guidance to staff/faculty regarding transfers, reimbursements, deposits, scholarships, etc.
  • Contingent employee and non-worker entry for guests, friends, and travelers of the University.
  • Process moving stipends.
  • Act as administrative backup to any department when necessary
  • Other duties as assigned.

Qualifications

Required Qualifications:

  • Bachelor’s degree in business administration, higher education, or other related field.
  • Must have prior experience in a part-time or full-time role (e.g., customer service, general office).
  • In lieu of required education, candidates with 2+ years of business administration or financial experience may be considered.
  • Ability to use Microsoft Office (Excel, Powerpoint, Outlook)
  • Possess strong interpersonal skills.
  • Ability to promote and maintain confidentiality
  • Must possess knowledge of office/professional etiquette.
  • Ability to work well and pleasantly with groups of people and work independently on a daily basis.
  • Ability to multitask and maintain a high degree of accuracy in a fast-paced environment.

Preferred Qualifications:

  • Experience with financial and human resources operations in a higher education setting.
  • Expertise in Adobe, ERP systems such as SAP or Oracle, ESM Contract Management System, and Higher Education Policy.
  • Knowledge in governmental accounting.
  • Knowledge and understanding of UT Human Resource policies, processes, and DASH functions for hiring student employees, staff, and faculty.

Work Location: On-site in Knoxville, TN.

Compensation and Benefits: The anticipated starting salary for this position is $43,000 to $46,000 depending on the selected candidate’s experience, qualifications, and suitability. Find more information on UT Benefits here.
