Job Description
The Office of the University Registrar at the University of Tennessee, Knoxville (UTK) invites applications and nominations for our Graduation Specialist position. We are seeking candidates who can contribute in meaningful ways to enhance the accessibility of higher education, fostering a diverse and inclusive academic environment, and improving the recruitment and graduation of our students. The target starting salary for this position is $35,000 - $36,000, depending on experience and qualifications.
Responsibilities
This is an on-campus position with some hybrid/remote work schedule flexibility.
APPLICATION REVIEW - Review the degree audit of each undergraduate degree applicant in the assigned college or colleges in order to determine if students are satisfying all degree requirements. FINAL DEGREE CLEARANCE - Review the degree audit of each undergraduate degree applicant in order to determine if students have satisfied all degree requirements conferring degrees when appropriate. COMMENCEMENT - Prepare for and assist in the University commencement ceremonies. APPLICATION PROCESSING - Process each incoming undergraduate graduation application, determine eligibility for indicated catalog year, while also ensuring that the degree information listed is coded and entered correctly into Banner and each student's degree audit. CORRESPONDENCE/COMMUNICATION - Guide students, faculty and staff via email, telephone, and face-to-face contact through the necessary steps to ensure that each undergraduate degree applicant meets the various deadlines in the term of graduation (as determined by the University). TESTING - Review all approved undergraduate academic degree programs and policy changes as promulgated by the Undergraduate Academic Council. DIPLOMA ORDERING - Oversee the process of ensuring that all undergraduate diplomas are ordered accurately and in a timely fashion. This includes validating the required information in each order and submitting orders in accordance with university policies and procedures. RECORDS MANAGEMENT - Oversee the process of ensuring that all graduation applications are scanned into the OnBase records management system. This includes any records archived in the Records Management Office. This involves a supervision component of student staff in the Office of the University Registrar.

| Required Education and Experience: High School diploma • 1 + years of experience in higher education.
Preferred Education and Experience: Bachelor's degree • 1 + years of experience in enrollment management or academic advising at the college/university level.
Required Knowledge, Skills, and Abilities: • Computer literacy to include but not limited to use of mainframe systems, Internet, email, and spreadsheets (Word, Excel, Access, Outlook, Notepad ++, Argos) • Strong oral and written communication skills • Must be able to communicate effectively, professionally, and personally with others including but not limited to students, advisors, faculty, deans, department heads, parents, and co-workers • Strong organizational and multi-tasking skills • Ability to process high volumes of work with accuracy and within deadlines on a routine basis • Ability to use reference materials (online catalog, internet, Undergraduate Council Minutes) in an accurate, timely and efficient manner • Knowledge of basic office equipment, including but not limited to copier, fax, scanner, and multi-line telephone
Preferred Knowledge, Skills, and Abilities: • Knowledge of the UTK undergraduate curriculum • Knowledge of and ability to interpret UTK academic policies and procedures.

The Division The Enrollment Management (EM) division comprises more than 190 full-time staff who serve our students through the following departments and functions: Undergraduate Admissions, International Recruitment, Transfer Center, One Stop Student Services, Financial Aid and Scholarships, the Center for Financial Wellness, University Registrar, Pre-college Research Excellence Programs, EM Research & Analytics, EM Communications, and EM Operations.
