Job Description
The Banner Coordinator coordinates the Banner training program for departments in the College of Arts and Sciences, including timetable entry and management, and student related entries (major/minor declarations; advisor assignments; add/drop courses); and develops best practices in Banner for the College. This position provides Banner and academic support services to the departments of Classics, Philosophy, and Religious Studies, and provides specialized Banner support to department heads, faculty, and advisors for student-related actions and timetable management, as well as specialized support for undergraduate student services and graduate program needs.
Responsibilities
Banner Training:
- Provide Banner system training to departments, develop training materials, determine when to offer training, and schedule space for the training.
- Act as the primary resource for departments for questions related to Banner and provide one-on-one training, as needed, on timetable entry and management, as well as student related actions.
- Develop best practices for departments.
- Serve as liaison with the Registrar’s Office on matters related to Banner and responsible for communicating any Banner changes to College Banner users.
Undergraduate Student Programs Support:
- Work with the department head and/or undergraduate director for each of the three named departments in timetable development and entry in Banner each semester, entering course and instructor information, and managing room assignments for each department’s courses.
- Manage undergraduate student actions, updating majors and minors in Banner, assigning advisors to each major, processing student course add/drop requests, and marking students as cleared for class registration.
- Provide requested reports on undergraduate student information for each department and maintain records and reports related to enrollment and student credit hours, tracking enrollments to assist in determining when a course should be cancelled or when additional support for high demand courses may be needed.
- Provide class rolls to instructors and submit course petitions to Arts and Sciences Advising.
Graduate Student Programs Support:
- Assist in graduate recruitment, managing graduate applications, preparing graduate appointment letters, and tracking appointment acceptance information.
- Maintain and update comprehensive spreadsheets of data on student applications, internal funding, graduation status, degree type, and job placement.
- Provide assistantship information on the funding of budgeted positions and track the allocation of centrally-funded fee waivers, verifying that students holding assistantships are properly registered each semester.
- Submit fee waiver reimbursement requests each semester, using Argos and DASH information to gather the needed fee waiver data.
Undergraduate and Graduate Student Programs Support:
- Assist department heads in the oversight of scholarships and fellowships, entering scholarships and fellowships in Academic Works for distribution to students, as well as managing graduate fellowship allocations that are submitted to the College for processing and allocation.
- Provide reports related to scholarship and fellowship allocations, including reports on the progress of graduate students who receive Graduate School funded fellowships.
Administrative Support:
- Provide daily administrative support to the local department.
- Order supplies through UT Market Place, paying with a procurement card and properly maintaining purchase documentation for the purpose of confirming procurement card purchases each month.
- Assist faculty and the department head of the local department with daily needs, such as copying, departmental organization, mail and shipping needs, submitting requests in Archibus and 25 Live.
- Schedule appointments for the department heads.
- Act as primary contact for students and visitors and provide assistance as needed.
Qualifications
Required Qualifications
- Education: High School diploma
- Experience: 5-7 years administrative experience
- Knowledge, Skills, Abilities: Proficiency with Microsoft Office, particularly Word and Excel. Ability to communicate effectively in writing and by phone, ability to work with a broad spectrum of people with diverse educational backgrounds and abilities. Ability to multi-task and problem-solve. Ability to work as part of a team and take on new tasks with minimum supervision. Ability to maintain confidentiality.
Preferred Qualifications
- Education: Bachelor’s degree
- Experience: Administrative experience in an academic setting
- Knowledge, Skills, Abilities: Banner and Argos experience. Knowledge of UT policies and procedures. Knowledge of FERPA regulations.

Compensation and Benefits
- UT market range: MR 6, Full-time, Non-exempt
- Anticipated hiring range: $46,000 - $50,000, DOE&Q
