THIS POSITION IS LOCATED AT EAST TN CHILDREN’S HOSPITAL IN KNOXVILLE, TN
JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: In partnership with the Program Director, the Residency Coordinator ensures regulatory and accreditation standards are met, education activities that support the curriculum are established, department policies are created and enforced, and recruitment strategies are implemented so that a highly successful residency program is maintained. This position serves as the primary liaison between the Residency Program Director, chief residents, residents, program faculty, GME Office and affiliated teaching sites concerning the residency program. This position is responsible for direct oversight of the daily administrative and professional responsibilities for all program residents in training as outlined in the ACGME Institutional, Common Program and Specialty Program Guidelines for Graduate Medical Education.
Responsibilities
- Performs the administrative and professional responsibilities of the residency program, including residents in training, program leadership, faculty, and the GME office.
- Serves as the department liaison for Graduate Medical Education, ACGME, program leadership, and other departments and institutions.
- Disseminate information regarding requirements of the National Resident Match Program (NRMP), Electronic Residency Application Service (ERAS) and Residency Management Suite (MedHub) to enhance the residency program and department efficiency.
- Coordinates the daily operations and logistics of the residency program; manages all components of program accreditation, including required documentation, site visits, self-studies, program letters of agreement and documentation needed for Graduate Medical Education Committee review/approval.
- Plans, manages, and executes all levels of program recruitment; creates, designs, and publishes all recruitment materials sent to prospective trainees.
- Screen applicants to meet selection and accreditation criteria; organizes and arranges interview itineraries for residents, faculty and interviewees; participate in on-campus and/or virtual interviews.
- Manages resident administrative requirements and ensures trainee education and compliance with national, hospital, departmental and program policies such as licensing and certification.
- Assists in the design and administration of the program's educational curriculum and compiles necessary data for continued quality improvement and accreditation.
- Collects and maintains data to analyze and identify applicant trends.
- Schedules administrative meetings and manage required documentation.
- Performs other duties as assigned.
Qualifications
EDUCATION: Bachelor’s Degree.(TRANSCRIPT REQUIRED)
EXPERIENCE: Two (2) years of experience in an administrative office setting. (Experience in graduate medical education is preferred.)
KNOWLEDGE, SKILLS, AND ABILITIES:
- Excellent organizational skills with attention to detail.
- Ability to function independently and use discretion.
- Excellent problem-solving and decision-making skills.
- Ability to maintain confidentiality.
- Effective written and oral communication skills to communicate appropriately with residents, physicians, administrators, other departments within and outside the institution, as well as resident applicants is a necessity.
- Computer literacy to include word processing and database management with sufficient computer experience and skills to quickly learn new software such as MedHub, ERAS, and NRMP.s.
WORK SCHEDULE: This position may be occasionally required to work evenings and weekends. May require occasional overnight travel.
