Job Description
The Tickle College of Engineering (TCE) at the University of Tennessee, Knoxville (UTK), is seeking an Administrative Associate interested in working in a team environment supporting Access & Engagements staff and the Hutchins Expanding Access for Engineering Program.
This position serves as administrative staff reporting directly to the Administrative Services Manager. The position performs complex operational and administrative duties and assignments and provides direct support to the Assistant Dean for Access (ADEA) & Hutchins Expanding Access to Engineering Program (EAEP). The position is responsible for providing direct administrative, operational, and event management support in cross-functional office areas including, but not limited to pre-college programs, recruitment, enrollment, and graduation, and is the first point of contact for students, university staff and faculty, external constituents, and campus visitors; as well as general administrative support for the operation of all internal office functions. This person interprets policies, procedures, regulations, and rules and assists students in understanding these requirements. All duties and responsibilities are completed with minimal oversight or supervision.
Responsibilities
- Event Planning, Management, and Support (housing, supplies, catering, rentals, print items, etc.)
- Responsible for purchasing activities within Hutchins Expanding Access to Engineering Program (EAEP)
- Administrative support for Assistant Dean for Access (ADEA) & EAEP including monitoring departmental email, calendars, websites, etc.
- Collect and compile student data related to recruiting, retention, application materials, etc.
- ADEA & EAEP travel coordination support
- Coordinates with TCE communications to create marketing materials
- Independent correspondence drafting
- Process accounts payable, vendor setup, P-Card reconciliation, travel expenses, payroll, and other fiscal tasks
- Organize data related to recruitment and retention efforts across faculty, staff, and students
Qualifications
Required Qualifications
Education and Experience: High school diploma with two to four years administrative or office experience or associate’s degree & one year of administrative or office experience.
Knowledge, Skills, Abilities:
- Ability to work independently and as a member of a team; work occasional early mornings, nights, and weekends; to take initiative and work proactively; and to multi-task
- Excellent written and verbal communication skills
- Exemplary organizational skills and keen attention to detail
- Proficient in Microsoft Office 365(Outlook, Excel, Word, Teams and PowerPoint), Acrobat, and survey applications such as Qualtrics, Survey Money, etc.
- Ability to interact with a diverse group of individuals; and identify and maintain confidential issues
- Demonstrated customer service skills
- Flexible and adaptable, especially with new technologies and office processes
- Punctual and dependable
- Ability to learn and utilize technology that supports students, faculty, and staff

Preferred Qualifications
Education: Bachelor's degree in business, human resources, or related field to position’s duties
Experience: Experience in higher education, Certified Administrative Professional certification, and experience working with students
Knowledge, Skills, Abilities:
- Working knowledge of UT policies & procedures and UT software such as DASH, Banner, Slate, and Qualtrics
- Experience with Microsoft Power Apps and Adobe Suite
- Knowledge of 25Live, Programs for Minors, and PaymentWorks

Compensation and Benefits:
- UT market range: MR05
- Anticipated hiring range: $42,000 - $45,000
