Program Coordinator, Graduate Business Programs (GEE): Haslam College of Business - UTK

Job Description

This role primarily supports approximately 700 online adult learners across several graduate business programs by overseeing core program operations, data management, and student services. Key responsibilities include coordinating planning and logistics for multiple on-campus events each year, maintaining accurate program data such as enrollment, registration, and academic history, and managing program ambassador initiatives, apparel, and promotional items. The position also serves as a central point of contact for student support, handling processes such as leave of absence and reinstatement, graduation applications, registration permissions, and third-party billing. Working closely with program managers, student success coaches, and campus partners, this role ensures smooth program delivery, accurate records, and prompt resolution of student needs.

Responsibilities

  • Program Operations and Delivery:
    • Coordinate planning and logistics for on-campus events including, but not limited to, two annual immersion events for MS-SCM Online and three in-person orientation periods for Online MBA.
    • Build and maintain relationships with relevant campus partners.
    • Track admitted student deposits and confirmations in conjunction with program managers to ensure accuracy.
    • Update and maintain program data, including but not limited to, enrollment status, course registrations, and academic history. Ensure accuracy of data and provide compiled reports to Program Managers and other stakeholders.
    • Manage program apparel and promotional items, including tracking inventory, ordering new apparel and promotional items, and coordinating mailings for new student and graduate gifts.
    • Manage the process for selection of program ambassadors for each online program and track participation, collect student testimonials, and execute an application process each calendar year. Provide ongoing support and maintenance of the student ambassador program.
  • Student Support and Service, Process Improvement, and Financial Accountability:
    • Partner with Student Success Coaches to provide student support as needed.
    • Oversee entire leave of absence and reinstatement process for the programs, facilitating the process with The Graduate School.
    • Independently manage, coordinate, and track third-party billing paperwork.
    • Coordinate, manage, and execute all processes related to graduation (admission to candidacy). Accurately track and monitor graduation applications.
    • Manage and execute all registration permissions and holds for three annual registration periods.
    • Promptly troubleshoot and resolve wide range of issues experienced by student population. Use judgment to determine when to escalate an issue to Program Managers.
    • Responsible for financial stewardship of promotional items, events, and program resources.
    • Other duties as assigned

Qualifications

Required Qualifications:

Education/experience:

  • Associates degree in business, education, or related field plus 2 years professional experience

OR

  • Bachelors degree in business, education, or related field plus 1 year professional experience
  • Requires professional experience in an administrative or project management role

Knowledge, Skills, Abilities:

  • Knowledge: Education administration, program/project management, event management, budget
  • Skills: Organization, verbal and written communication, interpersonal communication, relevant technologies used (Office, Canvas, Zoom, CRM, etc...)
  • Abilities: Independence and sound judgment; strong attention to detail; ability to communicate with different types of individuals including executives, faculty, and corporate customers; commitment to customer service; growth mindset; adaptability; accountability

Preferred Qualifications:

Education/experience:

  • Associates degree in business, education, or related field plus 4 years professional experience

OR

  • Bachelors degree in business, education, or related field plus 2 years professional experience
  • Prefer experience in higher education or an educational setting

Knowledge, Skills, Abilities:

  • Knowledge of higher education institutions and administration
