Job Description

The College of Arts and Sciences Technical Services (CAS Tech) is seeking an Administrative Assistant with excellent interpersonal skills to serve as the first point of contact for our department. This position plays a vital role in coordinating and assigning incoming service requests, creating and managing electronic work orders, and ensuring jobs are tracked from initiation to completion. The role is critical in supporting technicians, faculty and staff by maintaining accurate records, ordering and picking up materials, tracking labor and parts usage, communicating status updates and ensuring the smooth operation of technical services across the College.

Responsibilities

  • Serve as the first point of contact for incoming service requests related to equipment repair, modification, or relocation.
  • Create and assign electronic work orders; update job statuses, track labor hours, and record material purchases.
  • Collaborate with multiple teams to gather necessary information and track progress
  • Collect, organize, and maintain large data sets for complex, multi-departmental projects
  • Order and pick up job-related materials; maintain inventory and update software systems.
  • Perform a variety of clerical tasks including recordkeeping, correspondence, mail processing, and meeting minutes.
  • Oversee departmental vehicle reservations, cleaning, and routine maintenance.
  • Manage conference room scheduling, office supply inventory, and vendor account setup.
  • Communicate with Facilities Services and departmental listservs regarding outages, alarms, and drills.
  • Support Federal Work Study employees with project assignments.
  • Maintain the Workplace Chemical List and Safety Data Sheets.

Qualifications

Required Qualifications

Education: High School Diploma or GED with 1-2 years of professional experience in an office setting, or equivalent clerical experience.

Knowledge, Skills, Abilities:

  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Experience with data entry, recordkeeping, and administrative tasks.
  • Proven ability to manage tasks and deadlines independently, with minimal supervision.
  • Highly organized with strong attention to detail and multitasking abilities.
  • Proactive and self-motivated, with a problem-solving mindset
  • Valid driver’s license.

Preferred Qualifications

Education: Associates Degree in business administration, communications, or related field; or 4 years of administrative support experience.

Experience: Higher education

Knowledge, Skills, Abilities:

  • Experience in higher education or a large, service-oriented organization.
  • Familiarity with work order or workflow management systems (e.g., ServiceNow, Fiix).
  • Knowledge of procurement processes, including purchase orders and procurement card use.

Work Location: Onsite at the University of TN, Knoxville (Monday - Friday 8:00 am - 5:00 pm)

Compensation and Benefits

  • UT market range: 04
  • Anticipated hiring range: $36,000 - $40,000 DOE&Q
