Job Description
The Project Coordinator plays a central role in supporting Student Life Communications by managing projects from intake to completion. Serving as the primary contact for the project request system, the coordinator ensures clarity of submissions, develops project briefs, and organizes timelines, assignments, and workflows that align with divisional priorities. This position is responsible for facilitating planning and review meetings, keeping leadership informed of milestones, and maintaining clear communication with campus partners to ensure annual events and campaigns are executed successfully. The coordinator oversees multiple, simultaneous projects, tracking deliverables, providing regular status updates, and ensuring that all tasks, proofs, and content are delivered on time and stored appropriately. In addition, they gather results and analytics to evaluate outcomes, share best practices, and refine future workflows.
Responsibilities
- Serve as the primary contact for the project request system, reviewing and updating submissions for clarity and completeness.
- Create and manage tasks in project management tools, ensuring correct workflows, templates, and assignments.
- Draft project and campaign briefs in collaboration with partners, incorporating strategic input and aligning with division priorities.
- Schedule and facilitate intake, planning, kick-off, alignment, and review meetings; document attendance, action steps, and timelines.
- Advise leadership on team assignments and milestones based on capacity, associated projects, and target audiences.
- Initiate planning conversations with campus partners for annual events and campaigns; communicate deadlines.
- Manage resources and budgets, providing regular updates and recommending adjustments to keep projects on track.
- Oversee project timelines, deliverables, and milestones for multiple, simultaneous projects, providing regular status updates to staff and leadership.
- Coordinate the review process by exporting content, distributing drafts, and routing proofs for approval; ensure deliverables are finalized and stored properly.
- Track analytics, feedback, and other measures of success; facilitate discussions on outcomes and document best practices to refine workflows.
- Support ongoing Student Life Communications initiatives and Community of Practice efforts.
- Provide logistical and administrative support to SLC leadership, including dashboards, scheduling, and records management.
Qualifications
Required Qualifications
- Education: Bachelor’s Degree in Marketing, Communications, or related field. (6 years professional experience can substitute for education requirement).

- Ability to work with various stakeholders
- Prioritize multiple work responsibilities in time-sensitive situations

- Supervise and delegate work to student staff
- exercise good judgment, handle different situations with confidence and leadership
- Foundational knowledge of marketing essentials and communications strategies
- Strong skills in verbal and written communication, customer service, and interpersonal relationships

Compensation and Benefits
- UT market range: MR07
- Anticipated hiring range: Starting at $41,000 and commensurate with education and experience.
