Job Description
The University of Tennessee Knoxville, College of Social Work is accepting applications for an Administrative Specialist I. This position reports to the Enrollment and Program Support Manager and provides vital administrative support to the Field Education Program, a core component of every social work student’s academic journey. Unlike a typical internship, field education is an intensive, in-depth applied learning experience that equips students with the skills and practice required to succeed as professional social workers.
Responsibilities
- Provide administrative support to the Field Program Director, field faculty, adjuncts, and field liaisons.
- Offer direct administrative assistance to field coordinators, including schedule management, correspondence, and travel support.
- Initiate travel authorizations and reimbursements, ensuring compliance with university and departmental policies.
- Coordinate all Field Education events.
- Maintain Intern Placement Tracking (IPT) software for BSSW and MSSW students in both on-campus and distance education programs.
- Manage field-related documents and assignments.
- Process all Memoranda of Agreement (MOAs) for field placements.
- Provide student support for BSSW and MSSW programs related to field education.
Qualifications
Required Qualifications
Education:
- High school diploma or GED required.
Experience:
- 2 -3 years of administrative experience in a professional office environment.
Knowledge, Skills, Abilities:
- Strong organizational skills with the ability to manage multiple projects and assignments.
- Excellent interpersonal, written, and oral communication skills.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Professional decision-making and problem-solving skills.
- Self-disciplined, motivated, and able to work independently with minimal supervision.
- Proficiency in Microsoft Office Suite (Word, Excel, etc.) and Microsoft Teams.
- Ability to work efficiently and effectively in a fast-paced environment.
- Commitment to the mission, vision, and strategic plan of the College of Social Work and adherence to all University and College policies.
Preferred Qualifications
Education:
- Bachelor’s Degree
Experience:
- Experience working in an academic program or higher education environment.
- Experience with Adobe, Banner, Argos, Microsoft Teams and Canvas
Position Details
- Location: Knoxville
- Onsite, Hybrid, or Remote: Hybrid
- Position Pay Rate/Range: MR 05 -$20/hr.
- Hours: 8 am – 5 pm Mon-Fri
- Duration of Temporary Assignment: As needed
