JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Coordinator 1 provides administrative support to executive level positions by preparing reports, handling information requests, and operations of the Knoxville Dean's office.


EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)

EXPERIENCE: Five (5) years of office experience; OR Associate’s Degree and three (3) years of office experience; OR a combination of related college coursework and work experience equal to five (5) years.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Ability to work with all levels of the organization.
  • Knowledge of Word and Excel.
  • Exemplary planning and time management skills.
  • Ability to multitask and prioritize daily workload.
  • High level of verbal and written communication skills.

WORK SCHEDULE: This position may occasionally be required to work evenings.


  1. Maintains the appointment schedule by planning and scheduling meetings, conferences, and teleconferences.
  2. Read, research, and routes correspondence; drafts letters and documents; collects and analyzes information; initiates telecommunications.
  3. Prepares reports by collecting and analyzing information.
  4. Reconciles ledger for the Dean's office and provides information to departmental administrative staff to reconcile department ledger.
  5. Manages the travel process for executive level positions.
  6. Manages the Graduate School of Medicine (GSM) third floor facility operations coordinating maintenance and service requests.
  7. Documents all monthly meetings with the Department Chairs to include minutes and actions thereof.
  8. Produces information by transcribing, formatting, inputting, editing, retrieving, copying and transmitting text data and graphs as requested by the Dean and Assistant Dean.
  9. Serves as main point of contact for guests, service providers, deliveries, general inquiries for the GSM third floor
  10. Performs other duties as assigned.
