The Department of Electrical Engineering and Computer Science (EECS) at the University of Tennessee, Knoxville, invites applications for a full-time Student Services Associate. Reporting to the Front Office Manager, this position provides direct support to the Department Head, Associate Department Heads, Chief of Staff, Business Managers, faculty, & students. This position is the first contact for all incoming graduate students. The faculty and students (domestic and international) rely on this staff member to be there for assistance in orienting students to the department and act as an expert resource for a broad range of areas. Coordinates program acceptance, graduate offer letters, assists international students with required documents, compiles student data analytics, answers a variety of questions from prospective students, and ensures progression of processes. Inputs scholarship awards for undergraduate students in university system. Provides departmental administrative support as needed. Required Qualifications:

Experience:

  • High School Diploma or GED

Experience:

  • One to three years of office experience.

Preferred Qualifications

Education:

  • Degree in Business or related field.
  • CAP certification

Experience:

  • Experience with compiling/maintaining databases and working with Microsoft PowerBI (creating dashboards and building reports) and integrating Microsoft Flow with business processes.
  • Experience in higher education

  • Anticipated hiring range: $20 - $21.50 per hour

  • Coordinates the Bodenheimer Fellowship applications, recommendation letters, Academic Histories, personal statements into a Committee Packet.
  • Work with leadership regarding Scholarship nominations and offer letters. Maintain master list.
  • Enters scholarship and fellowship awards in Scholarship Management program.
  • Maintains various graduate student records via Banner, Argos, ARP, Data Central, and SAS.
  • Provides statistical data such as student enrollment, demographics, credit hours, etc. (in progress) via Argos, ARP, Data Central, and SAS.
  • Supports GTA/GRA hiring processes by working with the GTA committee and/or faculty in performing associated administrative duties involved in assistantship appointments. Responsible for the dissemination of information/offer letters to EECS human resources to ensure hiring can be done effectively, consistently, and accurately. Maintains master data for each semester
  • Registers and maintains database of new International GTA requiring OPIc exam.
  • Maintain master list of advisors
  • Maintain all Graduate Student Files to include Admission to Candidacy form and Doctoral Appointment form.
  • Work with leadership to disperse important graduate student info, new graduate student orientation every fall semester, and graduate student requests regarding scheduling, requirements, transfers, etc.
  • Assist students with graduate change of program process with graduate admissions.
  • Corresponds with applicants to assist them in completing submission of documents via Slate.
  • Coordinates and process Graduate Applications for the department (application, letters of recommendation, CV, Personal Statement and Graduate School Application).
  • Reviews missing documents and tracks graduation requirements.
  • Assists with qualifying exams.
  • Assists students with registration issues via Banner.
  • 25Live (room scheduling) for reserving rooms for graduate student dissertation defense
  • Answer phones and assist with front office coverage duties as assigned
  • Monitor and maintain high profile/volume EECSgradinfo@utk.edu email account
  • Other clerical duties as assigned.
