The ALEC Department is requesting hiring an Academic Program Coordinator. The primary responsibilities of the position include processing, reporting, and maintaining graduate and undergraduate academic records tracking, registration and enrollment for undergraduate and graduate programs, timetable building, advising online master’s students, and providing support to students and faculty. This person would also serve as the primary point of contact for current and perspective students concerning ALEC’s undergraduate and graduate programs and university academic policies and procedures.

Required Qualifications:

Education and Experience:

  • A high school diploma and four years of relevant experience (student services, student success, or closely related student-support capacity), or an equivalent combination of training and experience, is required.

Knowledge, Skills, & Abilities:

  • Excellent skills in Microsoft Excel, Microsoft Word, Microsoft PowerPoint, Adobe, survey design in Qualtrics, and email.
  • Excellent written and interpersonal communication skills.
  • Ability to prioritize multiple tasks, work independently within guidelines, ability to work in a team, speak effectively in public, think critically, problem solve, attention to detail, and desire to continue to learn.
  • Ability to learn new software programs in a timely manner.
  • Ability to gather data, compile information, and prepare reports.
  • Communicate confidently in writing, with knowledge of basic grammar.
  • Knowledge of UT academic policies and procedures and the ability to effectively apply them to situations.

Applicants must be legally authorized to work in the United States on a full-time basis without need now or in the future for sponsorship for employment-based visa status.

Preferred Qualifications:

Education and Experience:

  • An Associate's or Bachelor's degree with four or five years of professional administrative or customer service experience at a University is preferred.
  • Experience supporting undergraduate and graduate programs.
  • Using student information systems, coordinating academic processes, preparing accreditation, assessment, or intuitional reports.
  • Advising Students.

Knowledge, Skills, & Abilities:

  • Skilled in Banner, Argos, and DocuSign.
  • Knowledge of basic math.

  • Manages and maintains undergraduate and graduate students’ records.
  • Assists undergraduate and graduate program coordinators with admissions, forms, and graduation forms.
  • Collect, prepare, and maintain documentation and reporting efforts for accreditation of the program.
  • Communicates and guides undergraduate and graduate students regarding events, policy changes, timetable, degree and scholarship deadlines, certifications required, and other areas as needed.
  • Coordinates, facilitates, and submits student class systems (Banner, etc.) information, course offerings and changes, and classroom scheduling.
  • Collects data and runs reports for graduate and undergraduate programs.
  • Advises online master’s students completing the coursework only option.
  • Maintains student database and email list.
  • Works closely with Student Success Advisors, undergraduate/graduate program coordinators, and faculty on course progression, program requirements, GPA projections, and course substitution petitions.
  • Collaborate with and support the undergraduate and graduate committee.
  • At the direction of the Student Success Advisor or faculty advisor, analyzes academic history to draft course petitions for review and approval by the advisor, department head, and the College.
  • Prepare academic reports for internal and external audiences using multiple data sources.
  • Developing marketing /informational material for the undergraduate and graduate programs.
  • Assists with student recruiting, including scheduling and meeting with prospective students and their families.
  • Assist with other annual events such as Ag Day, Holiday parties, and departmental functions.
  • Other events deemed necessary or required for department and undergraduate and graduate programs.
  • Provides logistical support for student organizations within the department, including communicating and scheduling student-led events.
